Privacy Policy

Last updated 30 October 2026

ClinLegal Pty Ltd (ABN 25 123 733 479) (“ClinLegal”, “we”, “us”) respects your privacy. This policy explains how we collect, use, store and disclose personal information through our website (www.clinlegal.com.au), our Member Portal (portal.clinlegal.com.au, including ClinHR, ClinLearning and ClinHire) and our legal services. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What personal information we collect

Depending on how you deal with us, we may collect:

  • Website visitors: your email address if you subscribe to our news; your name, email address and answers if you complete our Legal Health Check; and anything you send us when you contact us by email or phone.
  • Members (practice owners and managers): your name, email address, mobile number, role and signature; your practice’s name, ABN, address and other business details; and billing records. Card payments are processed by our payment provider; we do not see or store your full card number.
  • Practice staff: when a member practice uses the portal, it may enter information about its employees, such as names, contact details, employment details, contracts, HR notes, credentials, forms and training records. Some forms may include sensitive information, such as health or immunisation information, which is collected only with the employee’s consent or as otherwise permitted by law.
  • Job candidates: video interviews, written answers and contact details collected through ClinHire. Our Candidate Privacy Notice explains how this information is handled.
  • Legal services clients: information you give us so we can advise or act for you. This information is also protected by our professional duty of confidentiality and, where it applies, legal professional privilege.

We collect personal information directly from you wherever we can. Where a member practice gives us information about its staff or candidates, the practice is responsible for having told those people and, where needed, for obtaining their consent.

Why we collect it

We collect, hold and use personal information to:

  • provide our memberships, portal, training and legal services;
  • set up and manage accounts, sign-in and billing;
  • respond to enquiries and provide support;
  • send legal updates and news you have subscribed to;
  • send service emails, such as sign-in codes, reminders and notices about your membership;
  • improve our services and keep them secure; and
  • meet our legal and professional obligations.

We do not sell personal information. You can unsubscribe from our news at any time using the link in each email.

Who we disclose it to

We disclose personal information only as needed for the purposes above, including to:

  • service providers who host our website and portal, deliver our emails, process payments, provide video interviewing and manage our client communications, under obligations to protect it;
  • for staff and candidate information, the member practice that entered it or invited the candidate;
  • professional advisers, insurers and courts or tribunals, where needed for a legal matter; and
  • anyone else where you have agreed, or where we are required or authorised by law.

Overseas disclosure

Some of our service providers store or process information outside Australia, including in the United States and Europe. We take reasonable steps to ensure they handle personal information in a way that is consistent with the APPs.

How we keep it secure

We store personal information electronically with reputable cloud providers, protected by access controls, encryption in transit and secure sign-in. We keep information only as long as it is needed for the purposes above or as required by law, and then delete or de-identify it. If a data breach is likely to result in serious harm, we will notify affected people and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

Cookies

Our website uses only the cookies needed for it to work. The Member Portal uses a cookie to keep you signed in.

Access and correction

You can ask for access to the personal information we hold about you, or ask us to correct it, by contacting us. We will respond within a reasonable time. If the information was entered by a member practice (for example, as your employer), we may refer you to that practice.

Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or 1300 363 992.
